Protecting your privacy and ensuring the security of your personal information is of utmost importance to us.

 Data Controller Identification:

 Purpose and Legal Basis for Data Processing:

We collect and process your personal data solely for the purpose of conducting the specific market research project you have been invited to participate in. The legal basis for processing your personal data is your explicit consent, which you provide during the recruitment screening process.

 Data Collection and Consent:

We obtain your personal data, including your contact details (name, address, home and/or mobile phone number), and any additional information you provide during the recruitment screening process. Whenever possible, we strive to receive only your first name, email and mobile number, rather than your full name and address.

Prior to your participation in the research project, you will be asked to complete a consent form. This form will clearly outline how we control and process your personal data, including any video, photos, or audio recordings taken during the interview or research session. You will have the opportunity to receive a copy of the consent form via email for your records.

 Withdrawal of Consent:

You have the right to withdraw your consent at any time during the interview process or subsequently. To withdraw your consent, please email us at consent@vine-research.co.uk / fiona@fionasmalleyresearch.com. If we no longer hold your personal data, you will need to contact the client directly if you also wish to withdraw consent from their use of your data. The client's contact details will be provided at the point of giving consent, and we can also assist you in obtaining those details if needed.

 Data Sharing:

Your personal data is never shared with third parties, including the client who commissioned the research, without your explicit consent, except in cases where it is necessary for a specific reason. For example, if a client needs to directly send you a product to trial, we will seek your consent for such sharing in order to enable the product to be sent. In this instance a data contract would be established with the client/third party in order to ensure your data is solely used for this purpose and then destroyed immediately.

Upon completion of a research project, all information will be reported to the client anonymously, unless you have explicitly agreed otherwise through the consent form. However, audio, video clips, or photos from your interview or research session may be shared with the client for market research purposes. While we will not disclose your identity, your image or video may be used to illustrate findings, and your statements may be directly quoted using a pseudonym.

Clients are not permitted to use audio/visual materials beyond the scope of the market research project. This may include situations such as conferences where third parties from other organizations may be present.

Dependent upon the nature of the project you participate in, you may be asked to share photos, audio clips, or videos with other participants and clients as part of the market research process. We will inform you beforehand if such sharing is required, and it will be entirely your choice to participate. Other participants and clients will not have access to any identifying personal details about you, except for the images or thoughts you choose to share.

 Data Retention:

We will retain your personal details, including name, address, phone number, and any other collected personal data, for a maximum of 3 months after your participation in the project has been completed. After this period, all your details will be securely destroyed in both electronic and paper format.

Research findings, quotes, audio, and video recordings will be kept on file for up to 1 year. The duration for which the client may retain materials will be specified in the consent form and will be determined on a project-by-project basis.

We store your personal details (excluding research materials) in a secure manner to ensure appropriate protection against unauthorized access, loss, destruction, or damage. We employ suitable technical and organizational measures to safeguard your personal information.

 Compliance and Professional Memberships:

Fiona Smalley is a member of the Association of Qualitative Research (AQR) and the Market Research Society (MRS), adhering to their respective Codes of Conduct. These memberships ensure that we conduct our research activities ethically and in compliance with industry standards. Fiona Smalley follows the GDPR and the UK Data Protection Act 2018. As an EU registered business, a membership to the UK Information Commissioner’s Office (ICO) is not required. The European Data Protection Board (EDPB) does not operate a registration/membership system.
